About the Role

We are seeking a detail-oriented and proactive Administrative Assistant to support the day-to-day operations of all three Orion service lines. This is a newly created role designed to meet our organization's growing needs and offers a dynamic blend of administrative, content development and project coordination responsibilities.


The ideal candidate is organized, tech-savvy and comfortable working in a fast-paced remote environment. You take initiative, manage competing priorities with ease and bring a professional, client-ready presence to everything you produce.


While primarily remote, occasional travel within the GTA will be required for in-person training sessions and team meetings.

Key Responsibilities

  • Support the day-to-day operations of Orion Search, Orion HR and Orion Learning, adapting to the distinct needs and deliverables of each service line

  • Create polished presentations, proposals and client-facing materials using Canva, PowerPoint and AI-assisted design tools

  • Draft, format and proofread business proposals, reports and correspondence to a high professional standard

  • Research key HR topics, trends and emerging practices to support content development across the organization, including contributions to The Orion Group newsletter and Orion Learning course content

  • Support the development and formatting of training materials, facilitator guides and learner resources in collaboration with subject matter experts

  • Coordinate project materials, track timelines and maintain organized digital files and shared drives

  • Provide general administrative support including calendar management, scheduling and correspondence

  • Leverage AI tools to improve workflow efficiency, support content creation and enhance the quality of deliverables

 

What You Bring

Education & Experience

  • Post-secondary education in Business Administration, Human Resources, Marketing, Communications or a related field

  • 1 to 3 years of experience in an administrative, coordination, content development or marketing support role

  • Knowledge of or exposure to human resources practices is a strong asset

  • Experience supporting newsletter production, e-learning content or training material development is an advantage

 

Technical Skills

  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and Canva

  • Experience with CRM tools, databases or applicant tracking systems

  • Comfortable working in digital collaboration environments including Microsoft Teams and shared drives

  • Demonstrated proficiency with AI tools for content creation, research support and workflow efficiency, with genuine curiosity and confidence in adopting emerging technologies as part of your daily workflow

  • Excellent research, written and verbal communication skills, with the ability to identify credible sources, stay current on HR trends and translate complex concepts into clear, accessible content

  • Highly organized and dependable, with the ability to manage multiple priorities, shifting deadlines and competing requests

  • Proactive and resourceful, with the ability to anticipate needs, take initiative and see projects through to completion

  • Professional and discreet, with sound judgment when handling confidential information

  • Collaborative and adaptable, thriving in a remote or hybrid work environment

  • GTA-based and available for occasional in-person meetings or training sessions
