POSITION: Assistant Maintenance Supervisor
REPORTING TO: Property Manager
LOCATION: Kingston, Ontario
Responsibilities:
Promptly answer all phone calls and promptly reply to all email inquiries following proper email etiquette
Comply with all company policies without exception
Assist the Property Manager as needed
Assist the Customer Service Supervisor as needed
This is a “hands on” position for all properties located in Amherstview and Kingston
Perform minor electrical maintenance to include but not limited to replacement or repair of fixtures (i.e. wall switches and outlets, incandescent and fluorescent bulbs and tubes, ballast, sockets, fuses, minor appliances, cords, etc) using appropriate hand, power and specialty tools
Perform minor plumbing maintenance but not limited to replacement or repair of leaks in drains and faucets, unclogging of drains, trenching and laying new lines, replacing drain hoses on washers and similar devices to provide operable and efficient plumbing capabilities
Perform minor painting, drywall and carpentry maintenance but not limited to preparing surfaces and using brush, sprayer or roller to apply paints, stains, and varnishes, hanging doors, fitting and changing locks and handles to provide operable and efficient facilities
Prepare all surfaces and paint various structures and equipment (i.e. walls, floors, doors, etc.) to preserve wood and metal parts from corrosion and maintain a safe, comfortable working environment using various painting equipment and related tools
Replace or update inoperable or old building materials and appliances including but not limited to kitchen countertops, hot water tanks, flooring, sinks, screens, doors, light fixtures, etc
Cleaning units and patio areas of debris and safely and proper removal of all garbage
Wear company issued clothing at all time while on duty
Approval, up to authority level, of all supplier/contractor invoices and ensure compliance with all current company policies
Ensure all accounts payable (A/P) invoices, as per above, include all relevant supporting documentation as needed
Ensure all invoices match contract pricing if applicable
Ensure all A/P invoices are sent for next level approval within 5 (five) days of date stamped on each A/P invoice
Assist in ensuring all daily work is completed by all Superintendents and Maintenance Staff at all locations in Kingston and Amherstview
Assist in ensuring that all above-mentioned staff are performing their respective duties and responsibilities in compliance with all company policies without exception
Provide leadership, guidance and counseling to all above-mentioned staff
Promote staff morale and workplace safety at all time
Assist in coordinating the daily activities and assign tasks to all Maintenance Staff, delegate responsibilities and ensure all work is completed as per company standards
Assist in negotiating best possible terms and price quotes with trades and contractors as per current company policies, prior to submitting quotes for approval to the Property Manager or Senior Area Manager or to any other upper level manager as needed
Assist in monitoring results of all employees (as described above) contractors’/trades’ performance indicators and develop action plan for deviations
Assist in evaluating tenant requests and building Superintendents’ site work requests and demonstrate expertise by recommending cost saving or otherwise more beneficial alternatives
Assist in maintaining an inventory system; including but not limited to monthly physical counts, reporting, recommend the purchase of goods and equipment
Assist in ensuring all locations adhere to all applicable building codes, safety and environmental regulations
Assist in up keeping and preservation of grounds including but not limited to landscaping and snow removal
Assist in monitoring and ensure that all vendors comply with insurance requirements and coordinate all claims as required
Management member of the Joint Health and Safety Committee (JHSC)
Ensure company is in compliance with all current JHSC requirements and all other Ministry of Labour legislation and all other Regulations
Physical monthly inspect of all locations as described above as part of the JHSC requirements and chair quarterly JHSC meetings
As needed, on a daily basis, physically inspect all buildings, at the above-mentioned locations, or as advised. Said site visits are to be unannounced and at different dates/times. Inspections include; but are not limited to the interior and exterior of all buildings to ensure compliance with current company policies. Promptly report any and all deficiencies to the Property Manager, Senior Area Manager or any other upper level manager as needed
Assist in the preparation of annual operating and capital budgets for all properties as described above
Formally explain all budget variances on a monthly basis or as requested
Ensure that all company policies are followed by yourself and all staff reporting to you
Assist in employee relations including; but not limited to hiring, interviewing, dismissal, and performance reviews/evaluations
Ensure all vacant units at all locations (in Amherstview and Kingston) are 100% rent ready within 30 (thirty) days of receiving vacant possession of each unit
Other duties and responsibilities as needed
Requirements:
Your hours of work are 8:00 am to 4:30 pm Monday to Friday PLUS on-call while not on duty in rotation with Maintenance Staff. However, you may be required to work beyond said hours if needed.
Vacation must not be taken during the first week of any month or at the same time as the Property Manager
Daily lunch break will be from 12:00 pm to 12:30 pm
Two (2) daily breaks of fifteen (15) minutes each to be taken one in the morning (10:00 am to 10:15 am) and one in the afternoon (2:00 pm to 2:15 pm)
Daily contact with the Property Manager or Senior Area Manager to ensure he/she is made aware of all relevant issues at all locations identified above
